Checking While You Enter or Edit

Plans: Pro

On a new or edited vendor bill, invoice or sales order, Insight checks the form before you save. You can catch a duplicate or an empty department while it's still easy to fix.

Checking the form

  1. Start a new bill, invoice or sales order, or click Edit on one.
  2. Open Insight. The top reads new, not saved yet or editing.
  3. As you fill in the form, the checks run again.

Some checks need the saved record, such as Over the purchase order. They show in a line that says they'll run once the bill is saved.

Tip: Insight never saves anything. Nothing reaches NetSuite until you click Save.

If you'd rather check only when you ask, turn off Re-check while I edit in Settings → General → Transaction Insight. Then click Check again when you want a fresh check.

Filling in an empty department, class or location

If your form shows a department, class or location and it's empty, Insight flags it. When this vendor or customer almost always uses the same value, Insight suggests it.

To use a suggestion:

  1. Click the Use … button under the finding, for example Use Operations.
  2. The field is filled in on the form. Check it, then save as usual.

Choosing your own required fields

If your account doesn't use departments, classes or locations, or needs other fields, choose them yourself. Your choice applies to that transaction type in this NetSuite account.

To choose required fields:

  1. Open a record of the type you want, such as a vendor bill.
  2. In Insight, click ⋯, then Checks.
  3. On This record, find Missing department, class or location and click its ⋯, then Choose fields….
  4. Tick up to 20 fields, then click Save.

The check is now called Required fields. Fields NetSuite already requires aren't listed. To go back, choose Back to department, class and location from the same menu.
